Welcome to TWAN Travel Vault. By purchasing, accessing, or using TWAN Travel Vault services, you acknowledge that you have reviewed, understood, and agreed to the policies outlined below.

TWAN Travel Vault is a personalized travel organization and information management service designed to help travelers organize, access, and maintain their travel-related information through a private travel portal.

Travel Vault Service Terms

Your Personalized Travel Organization Experience

TWAN Travel Vault provides a concierge-style organization service where customers provide selected travel information, and TWAN organizes that information into a personalized Travel Vault.

Travel Vault services may include:

✔ Creating your personalized travel portal
✔ Organizing submitted travel information
✔ Uploading customer-provided documents
✔ Entering travel details
✔ Categorizing travel information for easier access
✔ Maintaining requested updates based on your selected maintenance plan

TWAN Travel Vault is designed to provide travelers with a convenient and organized way to access their important travel information.

What Travel Vault Does Not Provide

TWAN Travel Vault is an organization and information management service.

Travel Vault does not:

  • Replace airline, cruise line, hotel, insurance provider, or supplier websites

  • Replace official travel documents or required documentation

  • Guarantee immediate updates from travel suppliers

  • Guarantee supplier changes will automatically appear in your Travel Vault

  • Monitor bookings made outside of TWAN unless specifically included as part of a TWAN service agreement

Customers remain responsible for reviewing official communications from travel suppliers.

Setup Fee & Monthly Maintenance

One-Time Setup Fee

Your setup fee covers the creation and organization of your personalized Travel Vault.

Setup services may include:

✔ Creating your private travel portal
✔ Organizing provided travel information
✔ Uploading requested travel documents
✔ Entering reservation details
✔ Arranging information for convenient access

The setup fee is earned once work has started and is non-refundable after processing or commencement of setup services.

Monthly Maintenance Fee

A monthly maintenance plan is required to keep your Travel Vault active.

Monthly maintenance allows TWAN to continue managing and maintaining your Travel Vault through:

✔ Continued portal access
✔ Adding updated travel information
✔ Uploading additional documents
✔ Updating requested information
✔ Organizing future travel details

Monthly maintenance fees will automatically continue according to the subscription plan selected at purchase.

Additional Traveler Profiles

Your Travel Vault may be customized based on your travel party.

  • Children under age 21 may be included under a family Travel Vault.

  • Travelers age 21 and older require an additional traveler profile.

  • Additional setup and monthly maintenance fees may apply based on the number of travelers added.

Group Travel Vault

Group Travel Vault services are available for groups up to 25 travelers.

Group Travel Vaults may be used for:

  • Family travel

  • Cruise groups

  • Destination weddings

  • Friends traveling together

  • Special interest groups

Groups larger than 25 travelers require a customized quote based on the size of the group and the level of organization needed.

The group organizer is responsible for ensuring they have permission to provide traveler information submitted on behalf of other travelers.

Billing & Payment Terms

By purchasing TWAN Travel Vault, you authorize TWAN to process:

  • Initial setup fees

  • Monthly maintenance fees

  • Additional traveler fees

  • Additional service fees agreed upon by the customer

Customers are responsible for maintaining accurate payment information.

Failed Payments

If a payment attempt fails:

  • TWAN may attempt to process payment again.

  • Travel Vault access or maintenance services may be temporarily limited until payment is resolved.

  • Continued non-payment may result in suspension or termination of services.

Customers remain responsible for any outstanding balances.

Cancellation Policy

TWAN Travel Vault is a recurring monthly service.

Customers may request cancellation of their Travel Vault maintenance service at any time by submitting the official TWAN Travel Vault Cancellation Request Form.

Cancellation requests will be processed according to the terms outlined below.

Cancellation does not take effect immediately.

Once a cancellation request has been approved:

  • Your Travel Vault will remain active through the remainder of your current paid billing cycle.

  • Monthly maintenance services will continue until the end of that billing period.

  • No partial refunds will be issued for unused time within the current billing cycle.

  • Your subscription will not renew after the cancellation effective date.

Example:

If your monthly maintenance payment processes on the 15th and your cancellation request is submitted on the 20th, your Travel Vault will remain active through the current billing cycle and will not renew on the next billing date.

Privacy Notice & Information Management

Information We Collect

To provide Travel Vault services, TWAN may collect information including:

Customer Information

  • Name

  • Email address

  • Phone number

  • Billing information

Travel Information

  • Travel dates

  • Destinations

  • Flight information

  • Cruise information

  • Hotel reservations

  • Excursion details

  • Transportation details

  • Travel protection information

Documents Provided by Customers

Customers may choose to provide travel-related documents, including:

  • Confirmations

  • Reservations

  • Vouchers

  • Travel-related files

  • Other information requested for organization

Customers are responsible for ensuring they have permission to provide information belonging to additional travelers.

How Your Information Is Used

Information provided to TWAN may be used to:

  • Create and maintain your Travel Vault

  • Organize your travel information

  • Upload requested documents

  • Complete requested updates

  • Provide customer support

  • Process payments and subscriptions

TWAN does not sell, rent, or trade customer information.

Document Storage & Security

TWAN uses reasonable efforts to maintain the organization and accessibility of customer-provided information.

Customers understand:

  • No online storage system can guarantee complete security.

  • Electronic storage and communication involve inherent risks.

  • TWAN cannot guarantee protection against all unauthorized access, technical issues, or service interruptions.

Customers should only provide information they are comfortable storing within their Travel Vault.

Customer Responsibilities

Customers are responsible for:

  • Providing accurate information

  • Reviewing information entered into their Travel Vault

  • Requesting updates when changes are needed

  • Maintaining required original travel documents

  • Reviewing communications from travel suppliers

Customers should not submit unnecessary sensitive personal information.

Information Removal Requests

Customers may request updates or removal of their information by contacting TWAN.

Requests will be reviewed and processed according to applicable business and legal requirements.

Changes to These Policies

TWAN reserves the right to update these Service Policies & Privacy Notice as services, technology, or business requirements change.

Updated policies will be posted with a revised effective date.
